Exchange program brings offices closer, benefitting both the individuals and the community

For the past year, an opportunity for a temporary exchange between workplaces has been offered to certain Varian product development offices. For Varian Finland, this has so far happened between the offices in Helsinki and Baden, Switzerland.

A year ago, the product development organizations in Helsinki, Baden, and Budapest were combined into a larger unit. Varian Finland’s Managing Director Kari Toimela explains that the exchange program was introduced at this time.

- The Finnish and Swiss people remind each other with their obstinacy and ways of thinking, but there are also differences. The exchange program lowers the bar for understanding these differences and helps us to honor each other and our uniqueness even more than before.

Toimela says that the program allows employees from different units to learn from each other’s ways of working, bringing the best practices everywhere.

- The offices have become closer to each other, and the threshold between different offices is easier to cross now. There have also been new friendships forming through off-work activities.

New points of view and new friends

- When I heard about the exchange program I thought it was a very great opportunity to get to know in person and better all the people I am working with, says Federica Gallo from Baden.

Gallo spent two months at the Helsinki office in the spring of 2018.

- A big project had just started at that time and that was the perfect time to have closer interaction with the Helsinki colleagues working on it. It was so much easier instead of sending an email just set up a short meeting or go to their office, Gallo tells.

Gallo says that in addition to this, another project with the Baden team continued, and she got help and good advice from colleagues in Helsinki for it.

-In some occasions they helped me to see the things from a different point of view and find better solutions.

On her free time, Gallo explored Helsinki by running and by bike. Besides Helsinki, she visited Tampere, Turku, and Nuuksio, Espoo. She spent a lot of time with the colleagues outside of work, for example through shared hobbies.

- The best thing was getting to know each other in person, and breaking the barriers created by the distance.

Returning to Switzerland, Gallo noticed the benefits of the exchange. It was easier and faster to contact people, and the people were readier to approach her.

- I also could do big progresses on projects I was working on at that time, collaborating with the teams in Helsinki.

Distance allows a broader perspective

Riku Ruoti from Helsinki participated in the exchange for three months at Varian’s Baden office. Ruoti leads the department that is responsible for verifying and validating the treatment planning and management systems for external radiation treatment for cancer.

- We have an international working environment, and I’m responsible for the work of teams at several different offices, so I continued doing what I did in Finland, just from another country.

Ruoti says that the exchange offered a possibility to work more closely with the team in Switzerland. The company’s internal contact network of the company also grew from before.

- During the exchange, I noticed the similarities between the offices’ ways of working and their cultures clearer than before. It was especially wonderful to see how similar the values and the co-operation between people is regardless of the office.

During the exchange, like with many other things, distance from home gave much needed perspective. - It was great to see Finland and the Helsinki office from outside, and to broaden my perspective on how the Finnish office and their ways of working look like when seen from somewhere else.

Ruoti says that the exchange offers a great opportunity to better the ways of working.

Like Gallo, Ruoti thinks that the highlight of the exchange was co-operating with others. And yes, they both would do it again.

Varian Finland’s Managing Director Kari Toimela sums that the exchange program gives a lot – both to the individual and to the company.

- Our human capital grows considerably and we will without a doubt be better communicators after the experience.

Vaihto-ohjelma tuo toimipisteet lähemmäksi toisiaan - kasvattaa niin yksilöä kuin koko yhteisöä

Varianin tiettyjen tuotekehitystoimipisteiden välillä on ollut noin vuoden ajan mahdollisuus vaihtaa työskentelemään pariksi kuukaudeksi kerrallaan toiseen toimipisteeseen. Varianin Suomen osalta tämä on tähän mennessä toteutunut Helsingin ja Sveitsin Badenin välillä.

Vuosi sitten Helsingin, Badenin ja Budapestin tuotekehitysorganisaatiot päätettiin yhdistää yhdeksi suuremmaksi kokonaisuudeksi. Varianin Suomen toimitusjohtaja Kari Toimela kertoo, että vaihto-ohjelma otettiin käyttöön tässä yhteydessä.

- Suomalaiset ja sveitsiläiset ovat samankaltaisia itsepäisyyden ja ajattelutapojen osalta, mutta eroavaisuuksiakin löytyy. Vaihto-ohjelma madaltaa näiden erojen ymmärtämistä ja kasvattaa meitä entisestään kunnioittamaan toisiamme ja erityispiirteitämme.

Toimela lisää, että ohjelman myötä työntekijät eri yksiköistä oppivat toistensa työtavoista ja näin parhaat käytännöt tulevat käyttöön kaikkialla.

- Toimistot ovat tulleet lähemmäksi toisiaan ja kynnys asioida toimipisteiden välillä on madaltunut. Lisäksi työajan ulkopuolisten aktiviteettien kautta on syntynyt jopa ystävyyksiä.

Uusia näkökulmia ja ystäviä

- Kun kuulin vaihto-ohjelmasta, ajattelin sen olevan loistava tilaisuus tutustua paremmin niihin ihmisiin keiden kanssa teen töitä, toteaa badenilainen Federica Gallo.

Gallo vietti kaksi kuukautta Helsingin toimipisteessä keväällä 2018.

- Iso projekti oli tuolloin juuri käynnistynyt, joten se oli täydellinen aika tutustua Helsingin kollegoihin. Oli paljon helpompaa pitää lyhyt palaveri tai poiketa kollegan työhuoneeseen kuin lähettää vain sähköpostia, Gallo toteaa.

Gallo kertoo, että tämän lisäksi toinen projekti Badenin tiimin kanssa jatkui ja siihen Helsingin kollegoilta sai apua ja hyviä neuvoja.

- Välillä he auttoivat minua näkemään asioita toisesta näkökulmasta ja löytämään parempia ratkaisuja.

Gallo tutustui vapaa-ajallaan Helsinkiin, pyöräillen ja juosten. Helsingin lisäksi hän kävi Tampereella, Turussa ja Espoon Nuuksiossa. Myös kollegoiden kanssa tuli vietettyä paljon aikaa työn ohella, mm. harrastusten parissa.

- Parasta oli päästä tutustumaan ihmisiin henkilökohtaisesti ja murtaa raja-aitoja joita välimatka teettää. Palattuaan takaisin kotimaahansa, Gallo huomasi heti vaihdon hyödyt. Ihmisiin pystyi ottamaan nopeammin ja helpommin yhteyttä sekä he myös lähestyivät häntä helpommin.

-Lisäksi projekti jonka parissa työskentelin tuolloin, edistyi hurjasti Helsingin-tiimin ansiosta.

Etäisyys antaa perspektiiviä

Helsinkiläinen Riku Ruoti oli kesällä kolme kuukautta vaihdossa Varianin Badenin toimipisteellä. Ruotin työnä Varianilla on johtaa syövän ulkoiseen sädehoitoon käytettävien hoidon suunnittelu- ja hallintajärjestelmien verifioinnista ja validoinnista vastaavan osaston työtä.

- Toimimme kansainvälisessä työympäristössä ja vastaan usealla eri toimipisteellä olevien tiimien työstä, joten jatkoin samojen töiden tekemistä kuin kotimaassa, nyt vain toisesta maasta.

Ruoti toteaa, että vaihto antoi mahdollisuuden työskennellä Sveitsissä olevan tiimin kanssa tiiviimmin. Lisäksi yrityksen sisäinen kontaktiverkosta laajeni entisestään.

- Vaihdossa huomasin entistä selvemmin toimipisteiden välisiä yhtenäisyyksiä toimintatavoissa sekä kulttuurien välillä. Erityisesti oli hienoa nähdä, kuinka samankaltaiset arvot ja ihmisten välinen yhteistyö on voimissaan toimipisteestä riippumatta.

Kuten muissakin asioissa, myös vaihdossa etäisyys kotipisteeseen antaa tarvittavaa perspektiiviä.

- Oli hienoa nähdä Suomi ja Helsingin toimipiste ulkoapäin katsottuna. Sekä avartaa näkemystä siitä, miten kotimaan toimipiste ja toimintatavat näyttäytyvät toisesta paikasta katsottuna.

Ruotin mukaan vaihto antaakin oivan mahdollisuuden parantaa työskentelytapoja entisestään. Kuten Gallon, myös Ruotin mielestä vaihtoajan kohokohta oli yhteistyö ihmisten kanssa. Ja kyllä, kumpikin lähtisi vaihtoon uudestaan.

Varian Suomen toimitusjohtaja Kari Toimela summaa hyvin, että vaihto-ohjelma antaa yksilöiden lisäksi koko yritykselle paljon.

- Meidän henkinen osaamispääomamme kasvaa merkittävästi ja olemme varmasti parempia kommunikoijia kokemuksen jälkeen
